
CARDLOCK BILLING CLERK
AEG Petroleum LLC, based in Amarillo, TX, is a growing family owned and operated petroleum distributor. We are looking for a highly motivated Cardlock Billing Clerk to join our Amarillo team and contribute to our continued success. Job Summary:
The Cardlock Billing Specialist is responsible for managing all aspects of cardlock fuel billing, data accuracy, and customer account maintenance. This position ensures timely and precise invoicing for cardlock fuel transactions, supports customers with account questions, and coordinates closely with internal departments to ensure smooth fuel program operations. The ideal candidate is detail-oriented, dependable, and experienced in fuel management or billing systems within the petroleum industry.
Key Responsibilities:
Process daily and weekly cardlock fuel transactions, ensuring accuracy in gallons, pricing, and taxes.
Generate, review, and distribute customer invoices for cardlock accounts.
Maintain and update customer cardlock profiles, fuel card setups, restrictions, and access levels.
Monitor and reconcile data from fuel management systems to the company’s records.
Work with sales and operations teams to ensure new accounts are properly set up and activated.
Research and resolve billing discrepancies or data errors promptly.
Provide customers with detailed billing statements, usage reports, and account history as requested.
Assist in collections activities by communicating with customers regarding past-due balances or payment issues.
Support month-end closing processes by preparing billing summaries, reconciliations, and reports.
Qualifications:
High school diploma or equivalent required
Proficient in Microsoft Excel
Strong attention to detail, accuracy, and data reconciliation skills.
Excellent communication and customer service abilities.
Ability to work independently and manage multiple priorities in a fast-paced environment.
Knowledge of fuel tax and environmental fee structures is a plus.
